How to automate Gmail notifications for flipbook lead form submissions using Zapier

Learn how to set up and use Zapier to automate lead form submissions from flipbook to Gmail when a new lead form is submited.

You can now streamline lead form submissions and manage them directly in spreadsheets using Zapier. With this setup, you'll receive Gmail notifications whenever a lead form is submitted, making it easier to access the information. 

Note: The Zapier integration is available starting with the Business plan.

Step 1: Create the Flipbook and set up the lead form

Log in to your Flipsnack account and create a flipbook by uploading a PDF or creating it from scratch. Then, you must add a lead form and publish your flipbook, which can be found in Zapier. This article will guide you on how to add a lead form to a flipbook.

Step 2: Obtain your API key from Flipsnack

  1. Go to the main dashboard.
  2. Navigate to Settings, in the lower left corner.
  3. Click on Integrations.

Locate the API key for Zapier specific to your workspace, click on the Copy icon, next to the code, to copy this key as you will need it for the next steps.

Step 3: Set up a Zap in Zapier

  1. Go to Zapier and create or log in to your existing account.

Once logged in, click on Create Zap button in the top left corner and select Zaps from the newly opened dropdown menu.

2.  A new page in the editor will open. Click on the first step, called Trigger. In the search apps modal, type "Flipsnack" and click on the first result, as in the image below.

3.  In the left panel, click on Event input, and a dropdown will appear with all the Flipsnack       events. Choose New Lead Form Data.

Click on the Continue button and move to the Account tab.

4. When prompted, log in to your Flipsnack account. In the newly opened window, paste the API key obtained in Step 2 and click Yes, Continue to Flipsnack.

Now click on the Continue button and move on to the Trigger tab.

5. Here, you must select the flipbook to which you added the lead form in Step 1, or choose an existing catalog with lead forms. Locate the catalog by scrolling or using the search function, and then select it. 

Note: If you can't find it with the search function. You need to load more results by scrolling down until you see the Load more button.

After you select the flipbook, at the Link selection, you need to select the trackable link from the flipbook. 

6.  Click on Continue to move to the Test tab. Here, test the Zap to verify that everything is set up  correctly by clicking the Test trigger button. You'll know the setup is correct when you see a green checkmark next to the Test tab. Once this is confirmed, you can click Continue with selected record to proceed.

Step 4: Choose a destination app - Example: Gmail 

After setting up the trigger, choose the app where you want the lead form data to be sent. To simplify the process, we’ve created pre-built templates for connecting Flipsnack to various CRMs and apps. You can find them on the Flipsnack Integrations page on Zapier.

For our case, we will export our lead form submissions from Flipsnack to Gmail. Here's how to do it: 

  1. While in Zapier, click on Action, and you will be prompted to choose an app. For this example, we'll use Gmail. If you don't see it right away, use the search bar to find it. Gmail will be used to receive real-time notifications whenever your lead forms are submitted.

  2. In the Event dropdown menu, choose Send email. As you can see, there are different options, but this is the one to choose to receive email notifications. Click on Continue.

  3. In the Account tab, connect with your Gmail address. Once done, click on Continue.
  4. In the Action tab, there are multiple fields to which you can add information. 
  • In the To field, add the email address/addresses that will receive the email notification. You have two options:

        a. Manually enter an email address to receive notifications when someone submits a form.

        b. Select Email address from the dropdown menu to notify the form submitter that their form         has been sent. Note that the options in the dropdown menu are based on the fields included         in the Flipsnack form from your flipbook.

  • In the Cc and Bcc fields, add the email address/addresses that will be added as Carbon copies and Blind carbon copies on the email notification. 
  • In the From field, choose the email address that will send the email notification.  
  • In the From Name field, you can select properties from a dropdown menu. If you have included the Full name in Flipsnack, it will appear in the dropdown menu. Otherwise, it won’t, and you can leave this field blank. 
  • In the Reply to field, you can add a single email address other than the one you have set as your own. 
  • The Subject field is mandatory; as the name implies, it is the email subject. Here, you can add a custom text, choose a property from the dropdown, or combine the two, as in the example.
  • In the Body Type field, you can choose between plain and HTML. The HTML one allows you to add a custom-designed email template, like the ones offered by Stripo. 
  • The Body field is also mandatory, and it represents the text from the email body. Like the Subject field, you can add custom text, choose a property from the dropdown, or combine the two.

  • In the Signature field, you can select the signature associated with the email account.
  • The Label/Mailbox field allows you to select a label to apply to the email you received.
  • In the Attachments field, you can select an attachment for the email. It can be an actual file or a public URL, which will be downloaded and attached.

Once done, click on Continue

Next, in the Test tab, you can click Skip test or Test step. We recommend selecting Test step to ensure everything is functioning correctly. The test is successful if the green checkmark appears. Afterward, click Publish.
