Overview
When you add teammates to your Flipsnack workspace, the role you assign decides how they can work with the rest of the team. Picking the right role from the start saves you from confusing situations later, like a teammate who can see a flipbook but cannot edit it, or two people trying to change the same publication at once.
This article explains the two roles that shape day-to-day collaboration, the Editor role and the Agent role, and how shared editing works between teammates.
Requirements:
- Plan: Team or higher (adding teammates is available starting with the Team plan)
- Teammates: collaborators must be added as teammates in your workspace; free-plan users cannot be invited to join a team
The Editor role
The Editor role is built for collaboration.
- Editors can access and edit flipbooks that are shared with them through folder permissions.
- Use folder permissions to control which collections of flipbooks each Editor can see and edit.
- Choose the Editor role for anyone who needs to work on shared content together with the rest of the team.
The Agent role
The Agent role is designed for independent work.
- Agents create and manage their own flipbooks.
- Agents cannot collaborate on flipbooks created by other team members.
- Choose the Agent role for teammates who work on their own publications, for example, individual sales agents producing their own materials.
How collaboration works between teammates
- Organize flipbooks into folders, then share the folder and assign permissions so teammates can work on everything inside it.
- Only one team member can actively edit a flipbook at a time. Another teammate can take over after the current editor saves and exits.
- To update a published flipbook without changing its public link, open it, make your changes, and republish; the link stays the same.
- For stronger security, you can enforce two-factor authentication (2FA) for everyone added as a teammate in your workspace.
Troubleshooting
What to do if a teammate cannot edit a shared flipbook: check their role first. If they were added as an Agent, they cannot collaborate on other members' flipbooks; switch them to the Editor role and share the relevant folder with the right permissions.
What to do if two people need to edit the same flipbook: only one person can edit at a time. Ask the current editor to save and exit, and the next teammate can take over.
What to do if you cannot invite someone to your team: confirm they are not on a Free plan; free-plan users cannot join teams.
Frequently asked questions
Can I change a teammate's role later?
Yes. Roles are managed from your workspace's team settings; adjust the role and the teammate's access updates accordingly.
Is there a role for managing entire workspaces?
Yes. The Workspace Manager role, available with the Enterprise plan, is designed for overseeing workspaces. See the dedicated article in the resources below.
Do readers need a role?
No. Readers have view-only access and are not teammates. If someone only needs to view flipbooks, share with them as a reader instead of adding them to the team.
